Secretary
- Upholds the Constitution, By-Laws and Rules of the ball club
- Takes minutes of executive, general meetings, and March coaches meetings
- Types up minutes, disburses to directors and others as necessary and files
- Books rooms for meetings (e.g. executive meetings) and events (e.g. baseball camp)
- Phones and/or emails directors to inform them of meetings
- Handles correspondence that is assigned by directors
- Types up current directors list: position, name, phone number and addresses, disburses to directors
- Handles any advertising, that is not handled by other directors, at the direction of the executive
- Keeps on computer file the club Constitution, By-Laws and Rules, updating as necessary, printing and photocopying to keep all directors, coaches, and umpire manuals up-to-date
- delivers coaches manuals to the March coaches meetings and distributes
- collects manuals back from Vice-Presidents at season end
- Keeps on database coach information files: NCCP #, name, phone number, address, division and year coached
- sends to Baseball B.C. coach information for all coaches who have coached three years so the Level 2 Practical completion can be applied
- keeps on file a current hardcopy of the database
- helps any coach to straighten out his NCCP certification or to obtain a copy of his/her certificate
- obtains from the Vice-Presidents a list of who attended the coaching clinics each year to update the file info
- obtains from the League Scheduler a team/coach list each year to update file information
- Obtains completed coaching code of conduct and police check forms from new coaches and any coaches that are coaching but have not completed forms
- files completed police check with the coaching code of conduct form
- Keeps all club files up-to-date: keeping ongoing and current year files and previous year files in cabinet, transferring back year’s files to a file box and delivering to the Treasurer to be put with the account records of the same year
- Keeps an ongoing file for meeting minutes
